When loading your Employee or Dependent Data:

  • Double-check the Batch Template you are using to ensure that it has all the same columns as the data file you plan to upload. If the uploaded file contains columns with different names or is missing required columns, the upload will fail.

 

  • The system recognizes blank spaces as characters. If you get errors saying that something is not valid, but it looks valid to you, check that there are no extra spaces in the data field. For example, the system sees “ Full-Time” differently than “Full-Time” because of the leading space (these are easy to miss!).

 

  • Use care when selecting Batch Type. Actual & Corrective batches are the only types against which the 1095-C reports can be run. Inspection batches will indicate draft data being tested for data quality only, and cannot be used to run your 1095-C reports.

 

Note: The Actual Batch option will be unavailable until later in the calendar year, when it is possible to have collected data through December. The Corrective Batch type will not be available for use until the reporting year closes.

 

  • If you are working on an Actual or Corrective batch type, then it is important to work the batches to successful completion. Never abandon failed Actual or Corrective batches. Either delete them, or correct them. A failed Actual/Corrective batch will prevent the processing of your 1095-C reports.

 

  • You can load as many Inspection batches as you like.  These are intended to be practice to identify errors.  Only COMPLETE and FINAL data should be loaded as an Actual batch. The 1095C reporting runs off of your Actual batch data. Because of this, “Actual” will be a batch-type selection only later in the calendar year once it is possible to have gathered complete census data for entire year.


  • IMPORTANT: Anytime you load a new Actual Employee file you should re-load your Actual Dependent file. This ensures that the dependents are hooked up properly with the final batch of employees.
